1- MAKE LISTS YOUR BEST FRIEND
Note down all tasks you need to accomplish, arrange them in order of priority, and you will see how smoothly you will handle them.
2- LIMIT THE INTERRUPTIONS TO THE MINIMUM
If you would allow the people around you to interrupt you round the clock, you will not be able to finish your work. Train people around you not to interrupt you for chit chat, coffee breaks or tasks that can wait. Let them know that you check your email a couple of times a day and that they can send their requests and you will attend to them when you have time for that; in the time you have scheduled for that, unless of course there is an emergency or a situation in which an immediate decision should be taken.
Delegation is not laziness; delegate tasks to your team, and rather than delegating single tasks, try delegating a whole set of decisions. This will save you a lot of time and effort.
4- ENTRUST YOUR TEAM WITH ASSIGNED TASKS
When you assign a task to an employee, you should believe in his/her ability to do it. So, the best way to handle this would be to train the employee, explain the task, trust and then remove yourself from processes where you don't belong.
5- MANAGE YOUR E-MAIL PROPERLY
Open your email, quickly answer the emails that you can answer, forward those that need to be forwarded with quick and brief guidelines, if need be, flag the important emails and add them to your priority list. Check your mail two or three times a day, at times you allocated for that specific purpose. Don’t forget to arrange your mails in folders to facilitate tracking them.
6- DROP ONE PERSONAL COMMITMENT
Think of a personal commitment that you no longer enjoy and drop it. Perhaps you are used to play football every Friday afternoon with your colleagues, but you are recently feeling this became a chore rather than being a treat, so drop it and benefit from the time in other tasks that you feel they are more meaningful.
7- SCHEDULE SOME REFLECTION TIME
Go out for a walk, close your door and reflect for few minutes, and relax. This would give you an energy boost and revitalize your whole system.
