A reputable Cosmetics & Beauty company in Lebanon is currently looking for an Executive Assistant who will provide high-level administrative support to senior executives, such as CEO and shareholders, to ensure their daily operations run smoothly. This role involves handling confidential information, managing schedules, and serving as a key liaison between the executive and internal or external stakeholders.

Responsibilities
  • Administrative Support:

    • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

    • Draft and prepare correspondence, presentations, reports, and meeting agendas.

    • Performing Office tasks such as screening calls, emails, and other communications.

  • Meeting Coordination:

    • Organize and prepare for meetings, ensuring materials are ready and participants are informed.

    • Take meeting minutes, track action items, and follow up to ensure completion.

    • Coordinate with other departments and external stakeholders to ensure smooth communication and collaboration.

  • Travel and Event Management:

    • Plan domestic and international travel, including flights, accommodations, visas, and detailed itineraries.

    • Organize executive events, conferences, and off-site meetings.

  • Project Management Support:

    • Assist in tracking and monitoring key projects, ensuring deadlines and objectives are met.

    • Conduct research and compile data to support decision-making and strategic planning.

  • Document and Information Management:

    • Maintain and organize files, documents, and records, both physical and digital.

    • Handle confidential and sensitive information with discretion and professionalism.

  • Executive Liaison:

    • Build and maintain relationships with internal teams, clients, and external stakeholders on behalf of the shareholders.

    • Represent the shareholders in communications and meetings when required.

Qualifications
  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.

  • Proven experience as a shareholder/ Executive Assistant or in a similar role, ideally supporting senior executives.

  • Attention to Detail: Ensures accuracy in scheduling, document preparation, and communication.

  • Multitasking: Balances multiple priorities effectively in a fast-paced environment.

  • Proactive Approach: Anticipates needs and takes initiative to address them.

  • Relationship Building: Establishes strong working relationships across various levels of the organization.

  • Proficient in English and Arabic (verbal, written).
