A reputable Cosmetics & Beauty company in Lebanon is currently looking for an Executive Assistant who will provide high-level administrative support to senior executives, such as CEO and shareholders, to ensure their daily operations run smoothly. This role involves handling confidential information, managing schedules, and serving as a key liaison between the executive and internal or external stakeholders.
Responsibilities

Administrative Support:

Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

Draft and prepare correspondence, presentations, reports, and meeting agendas.

Performing Office tasks such as screening calls, emails, and other communications.

Meeting Coordination:
-
Organize and prepare for meetings, ensuring materials are ready and participants are informed.

Take meeting minutes, track action items, and follow up to ensure completion.

Coordinate with other departments and external stakeholders to ensure smooth communication and collaboration.

Travel and Event Management:

Plan domestic and international travel, including flights, accommodations, visas, and detailed itineraries.

Organize executive events, conferences, and off-site meetings.

Project Management Support:

Assist in tracking and monitoring key projects, ensuring deadlines and objectives are met.

Conduct research and compile data to support decision-making and strategic planning.

Document and Information Management:

Maintain and organize files, documents, and records, both physical and digital.

Handle confidential and sensitive information with discretion and professionalism.

Executive Liaison:
-
Build and maintain relationships with internal teams, clients, and external stakeholders on behalf of the shareholders.

Represent the shareholders in communications and meetings when required.

Qualifications

Bachelor’s degree in Business Administration, Communications, or a related field is preferred.

Proven experience as a shareholder/ Executive Assistant or in a similar role, ideally supporting senior executives.

Attention to Detail: Ensures accuracy in scheduling, document preparation, and communication.

Multitasking: Balances multiple priorities effectively in a fast-paced environment.

Proactive Approach: Anticipates needs and takes initiative to address them.

Relationship Building: Establishes strong working relationships across various levels of the organization.

Proficient in English and Arabic (verbal, written).
