Key Responsibilities:
Administrative Support:
– Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
– Draft and prepare correspondence, presentations, reports, and meeting agendas.
– Performing Office tasks such as screening calls, emails, and other communications.
Meeting Coordination:
– Organize and prepare for meetings, ensuring materials are ready and participants are informed.
– Take meeting minutes, track action items, and follow up to ensure completion.
– Coordinate with other departments and external stakeholders to ensure smooth communication and collaboration.
Travel and Event Management:
– Plan domestic and international travel, including flights, accommodations, visas, and detailed itineraries.
– Organize executive events, conferences, and off-site meetings.
Project Management Support:
– Assist in tracking and monitoring key projects, ensuring deadlines and objectives are met.
– Conduct research and compile data to support decision-making and strategic planning.
Document and Information Management:
– Maintain and organize files, documents, and records, both physical and digital.
– Handle confidential and sensitive information with discretion and professionalism.
Executive Liaison:
– Build and maintain relationships with internal teams, clients, and external stakeholders on behalf of the shareholders.
– Represent the shareholders in communications and meetings when required.
Job Requirements:
– Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
– Proven experience as a shareholder/ Executive Assistant or in a similar role, ideally supporting senior executives.
– Attention to Detail: Ensures accuracy in scheduling, document preparation, and communication.
– Multitasking: Balances multiple priorities effectively in a fast-paced environment.
– Proactive Approach: Anticipates needs and takes initiative to address them.
– Relationship Building: Establishes strong working relationships across various levels of the organization.
– Proficient in English and Arabic (verbal, written).
