Job Description

An Architecture firm based in Kuwait City, with global projects in Architecture, Landscape, and Interior Design, is currently looking for an Administrative Assistant , based in Kuwait, who will manage various administrative and paperwork responsibilities, ensuring smooth operations in both office tasks and government-related processes.

 

Key Responsibilities:

  • Serve as the Secretary, handling correspondence, answering emails, and organizing communications.
  • Maintain and organize the firm’s documents and catalogues, ensuring all materials are readily available and properly catalogued.
  • Handle day-to-day administrative work, including booking appointments, scheduling meetings, and assisting with document preparation.
  • Manage paperwork and documentation related to government processes in Kuwait, including visa renewals, municipality submissions, and other regulatory requirements.
  • Submit necessary paperwork for permits, licenses, and official documentation to various government bodies in Kuwait.
  • Communicate with government agencies in Arabic to ensure all required forms and documents are submitted accurately and on time.
  • Act as a liaison between the firm and relevant authorities for legal and regulatory paperwork.

 

Qualifications:

  • Fluent in Arabic (both written and spoken), as all government and municipality dealings are in Arabic.
  • Previous experience in administrative roles, especially in environments dealing with government documentation or regulations.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Detail-oriented, with the ability to manage paperwork and ensure accuracy in documentation.
  • Good communication skills for liaising with internal teams and external authorities.
  • Proficiency in Microsoft Office and other administrative software.
  • Knowledge of Kuwaiti government processes related to visas, permits, and licenses is a plus.

Schedule:

Working Days: Sunday to Thursday

Working Hours: 9:30 AM to 5:30 PM
