A distinguished furnishing solutions company located in Lebanon is looking for an Administrative Officer.

 

Company Overview:

A privately-held company based in KSA, is renowned for its passion, reliability, and vision in trading, manufacturing, and new business ventures. It offers a wide range of furnishing solutions, including imported and in-house furniture, lighting, accessories, and large-scale joinery and furniture factories. It continues to expand, adapting to market demands while maintaining its responsibilities towards employees, society, and the environment.

Tasks and Responsibilities:
  • Take note of the CEO/COO’s Office Managers requirements as well as the leadership team

  • Plan the work to be executed and assign the parts relative to the secretary and the receptionist (list of calls with timings)

  • Follows up on assigned tasks by the CEO/COO Office Managers or leadership teams both internally and externally

  • Follows up on assigned tasks within an ongoing project with a supplier, client or internal department

  • Undertake projects or research, which might require contact with external agencies, as required by the CEO/COO Office Managers

  • Maintain the diary and arrange appointments as necessary for CEO Office Managers

  • Type reports and routine correspondence from dictation or written sources

  • Act on incoming mails based on the CEO/COO Office Managers directives

  • Responsible for all travel arrangements /details for the CEO/COO and the leadership team

  • Maintain the office filling system

  • Maintain proper filing for Personal documents as hard and soft copies to keep an updated backup copy

  • Maintain proper filing and renewals for legal documents related to CEO and COO personal Companies

  • Maintain proper filing for personal and company’s cars portfolio

  • Follow up and renew the insurance policies and claims for company and personal on due

  • Limited decision making authority within the scope of CEO/COO’s Office Managers directives

Education and Requirements:
  • Technical degree in administration.

  • Min three years in secretarial work 1 out of which are working under MD or CEO/COO

  • Fluent In English Language

  • Familiarity with Arabic

  • Experience in Franchising

  • Expert in Microsoft office

  • Excellent communication skills (written and Oral)

  • Good listener

  • High organizational skills

  • High planning skills

  • Excellent in Internet browsing

  • Familiar with presentation tools

  • Tact and Discrete
